Cloud and Network Storage

Is there a Network or Cloud space where I can safely store my files and access them from outside AUA?

AUA is using G Suite for Education cloud solution, a set of intelligent apps, where AUA community members (Students, Alumni, Faculty and Staff) have their personal Google Drive cloud storage.

You can keep your work files in Google Drive, easily access them from any device and share them instantly with anyone within AUA community.

 

What are the advantages of using cloud storage?

– Keep your documents safe
– Access your documents anywhere
– Share your documents easily
– Manage files versions

 

What should I do to start using Google Drive cloud storage?

Just sign in to your AUA Gmail, click on square dial pad displayed in top right corner of browser window and select Google Drive icon available in the list.

 

I don’t like to work online, with files located in cloud, but feel more comfortable to work with files located on my PC.

In that case you can download Google Drive desktop application, install it and and sign in using your AUA Gmail account credentials.

Google Drive integrates with Windows Explorer; files you are currently storing online in Google Drive cloud will be automatically downloaded to your computer’s Google Drive local folder and became available locally.

More importantly, you can work with your files located in you computer’s Google Drive local folder and all files you create or modify on your PC will be automatically and transparently to you synced back to Google Drive cloud, so that you will not have to worry about remembering to upload a file to always have latest version available online and accessible from other devices.

Well, all above information is about personal cloud storage. But I am interested in storage space accessible by my department / team members.

For network storage accessible by your department members you can request ICTS team to create shared folder on AUA file server. Shared folders located on file server can be accessed only from campus LAN, not from outside AUA.  You will be able to access AUA file server located department shared folder by typing \\staffserver.aua.am in Windows Explorer.

!Updates on Google Workspace for Education Storage 

Dear AUA Community,

Please see attached a decree from AUA Interim President Dr. Armen Der Kiureghian regarding the latest updates made to the University’s GoogleDrive storage. 

Effective July 1, the Storage Policy in Google Workspace for Education has been changed by Google LLC. This is a worldwide update, and similarly to AUA, educational institutions are now adjusting to it. This update will bring about certain changes for our community.  In a major shift to its offering for schools and students, Google will no longer offer unlimited storage to educational institutions. Instead, Google will provide schools with a limited amount of pooled storage (100 TB) to be shared among all users and across all applications, including Drive, Mail, and Photos.  

As we informed you in the July 28, 2022 email, this is a kind reminder to all of you to start/continue cleaning out your Google Drive, emails, and photos by January 2023. All members of our community should review and remove unnecessary files and email messages from their GoogleDrive, Google Photos, and Gmail Storage. If you want to know how much storage you are currently using, please log in to your AUA Gmail account and head to https://drive.google.com/settings/storage.

For special cases, ICTS can review and grant additional storage to those units,  faculty, and staff members who carry institutional responsibilities.

AUA is currently in conversation with Google to fully understand the impact this will have on AUA’s Google usage. Once this is understood, AUA will then determine a novel policy and delineate the new limits to our Google storage. As it is mentioned in the President’s decree, starting January 2023, the university will assign storage spaces for community groups at AUA. The following quotas of storage will be assigned to the community groups accordingly:

Students – 15 GB for each user

Alumni – 15 GB for each user

Faculty – 30 GB for each user

Staff – 30 GB for each user

We will continue to update you more on this matter and how this update will impact our work as we move forward toward the end of the year. Moving forward please follow the instructions of ICTS and clean out your files. It is important to do this, because if you exceed your storage limits, Google will apply certain restrictions. For your reference, please see below the Google policy regarding storage limits: 

What happens when users go over storage limits

If users exceed their storage limit, they can be blocked from creating Google Docs, Sheets, and Slides, among other service degradations. If your user goes over storage limits:

They can’t add new files or images to Google Drive.

They can’t create new files in collaborative content creation apps like Google Docs, Sheets, Slides, Drawings, Forms, and Jamboard. Until they reduce storage use, nobody can edit or copy their affected files or submit forms owned by the user.

They can’t add any photos and videos to Google Photos.

Their ability to send and receive email in Gmail will be impacted.
